Add Candidates

Given below are multiple ways of adding Candidate information into the HeadTracker database, so that they can be considered for all future Requirements. HeadTracker uses the name and phone number fields to identify duplicates.

Resume Parsing

HeadTracker has an inbuilt resume parser which attempts to extract relevant data from Candidates' resumes. Resume parsing can be done one at a time or in bulk (in a zip file). HeadTracker gives the user a chance to review and edit the information extracted.

Excel Import

Information of Candidates considered in the past is usually available in Excel files. Further, some job portals let you extract information of Candidates in Excel files. These files can be imported into HeadTracker, for adding all these Candidates to HeadTracker database.

Jobseeker Form

A jobseeker form can be extracted from HeadTracker and made available on the company website. When a Candidate uses this form to apply for a job, then the information travels to HeadTracker. This is a very powerful feature by which recruiters can get excellent Candidate information automatically into their database, without spending any effort.

Fetch Email

HeadTracker can listen to a dedicated email id and automatically extract and parse resume attachments from all incoming emails to this id. So, if you have any resumes lying in your mailbox then you can just forward them to HeadTracker's email id. (Another approach would be extracting all attachments into a folder, creating a zip and importing it into HeadTracker.)

Communication Logs - Candidates, Requirements & Clients

The communication logs are a powerful facility that enables collaboration among the team members. A communication log is simply a place to add a summary of any discussion in the context of an entity.

Manual and Auto Alerts

Alerts are the reminders -- linked to Candidates, Clients, Requirement or Interviews. These alerts are visible in the dashbord page sorted by their due dates.
Auto alerts are the alerts fired automatically on change of status, possibly configured with a delay (e.g. One month after Candidate joins).

Mails to Candidates / Clients

Customized bulk mails can be sent to Candidates. These could be regarding job opportunities, upcoming interviews or any other purpose. Emails can be sent to Clients as well, with Candidate resumes or exported Excel spreadsheets attached.

Reports – Performance of Individuals, Teams and Organization

HeadTracker can churn out some highly useful reports for the given time interval. Some of these reports are:

  1. Client-wise Fitment Efficiency Reports
  2. Recruiter-wise Fitment Efficiency Reports
  3. Source Efficiency Reports
  4. Candidate List for Requirement

Flagging Candidates

Flagging is a facility to tag one or more Candidates with custom meaning. Candidates can be searched based on the flags applied to them.

Search – Instant and Advanced

Candidate search is a very important function for recruiters. HeadTracker's Candidate search page allows searching the Candidate database based on a lot of criteria. Searches can be narrowed using 'search within search'.
Many text fields support double quotes, AND and OR constructs.
While searching, the default is to use Candidate experience auto-updated to current date.
Instant search is available from all HeadTracker pages, based on the Name/Mobile number.

 

Base Functionality

Client Management

Client management involves adding, editing, deleting and searching Clients. HeadTracker includes Client management as it wants to capture all data relevant to a recruitment / department, moving beyond being a pure Applicant Tracking System.
Requirement Management
A Requirement can always be added for an existing Client. It can be of two types:

  1. Permanent employment
  2. Contract staffing

It is easy to add Requirement, search Requirement, edit Requirement & delete Requirement by using HeadTracker.

Candidate Management

Candidate management involves adding, editing and deleting Candidate. HeadTracker's Candidate management is the basis of Candidate search and tracking functionalities.

Branches/ Contact Person

HeadTracker allows a recruiter to enter the information about various branches or the contact persons pertaining to a Client. While entering the interview information, the branch may be specified.

Proposal and Status Tracking

When a Candidate is proposed for a Requirement, a Proposal is created. The status is then tracked for the Proposal. If one Candidate is considered for multiple Requirements, it will be reflected in those many Proposals for the Candidate – possibly with different statuses.

Interviews / Tests

Various Candidate evaluation steps like in-person or telephonic interviews, written tests or group discussions can be associated with a Requirement. The Candidates proposed for the Requirement can then be scheduled to attend these. If an interview is rescheduled, the change needs to be marked in one place. The evaluation results are also captured in HeadTracker.

 

Admin Functionality

Master Management

Aiming at minimizing typing by the users, thereby improving their efficiency and minimizing the scope for errors, HeadTracker presents selection of choices which manifests as drop down boxes, lists, radio buttons, checkboxes and the like.
Another way of looking at the masters is the storage of meta-data (data about data), which imparts configurability to HeadTracker.

Audit Trail

Audit Trail is the facility given to administrator which includes Transaction logs of all users.

Trash Can

The trash can is used to store the deleted items i.e. it works as a recycle bin. If something was accidently deleted then it can still be undeleted by the admin.
